This Privacy Policy explains how Smart Expense Hub (“the App”, “we”, “us”, or “our”) collects, uses, stores, and protects your information when you use the App. We are committed to protecting your privacy and handling your data responsibly, in line with the requirements of the Apple App Store.
1. Information We Collect
a) Account Information
When you create an account or sign in, we collect basic account information that you provide:
- Name — used to identify your account and personalize your experience.
- Email address — used to create and secure your account, sign you in, sync your data across your devices, and send essential account-related messages (such as password reset).
We also store the financial records you choose to enter (such as accounts, transactions, categories, and amounts) so the App can provide its core expense-tracking functionality.
b) Camera and Photos (Optional)
The App may request access to your device’s camera and/or photo library so you can attach an image of an expense receipt or invoice. This is entirely optional:
- Camera/photo access is used only when you actively choose to capture or select a receipt image.
- If you do not use this feature, no images are collected.
- Receipt images you add are stored solely to display them within your account and are not used for any other purpose.
c) Technical Information
To operate and secure the service, our servers may process limited technical information necessary for delivering the App (for example, session information required to keep you signed in). We do not use this information for advertising or tracking.
2. How We Use Your Information
- To create, manage, and secure your account.
- To provide the App’s core features: recording and organizing expenses, invoices, and accounts.
- To synchronize your data across your devices and with accounts you choose to share.
- To let you attach receipt images to your records when you use the camera or photo features.
- To communicate essential account or service information.
3. Data Sharing
We do not sell your personal information, and we do not share it with third parties for advertising or marketing.
Your information is only shared where it is necessary to operate the service — for example, with the hosting and infrastructure providers that store and synchronize your data on our behalf. These providers process data only as required to run the App and are expected to keep it secure.
If you choose to share an account with another user inside the App, the records of that shared account will be visible to the members you invite, as part of the feature you enabled.
We may also disclose information if required to do so by law or to protect the rights, safety, and security of our users and the service.
4. Data Storage & Security
Your data is stored on secure servers, and access is protected by your account credentials (including your account PIN where applicable). We apply reasonable technical and organizational measures to protect your information against unauthorized access, loss, or misuse. No method of transmission or storage is 100% secure, but we work to safeguard your data.
5. Data Retention
We keep your data for as long as your account is active or as needed to provide the service. To help manage storage, the App may automatically remove older receipt images and older records after defined periods, while giving priority to items you mark to keep (such as saved warranty invoices). You can also delete individual records, rounds, or your entire account from within the App.
6. Your Rights & Choices
- Access & update: You can view and edit your name, email, and records from within the App.
- Delete: You can delete transactions, rounds, or your entire account. Account deletion is subject to a short grace period during which it can be undone, after which the data is permanently removed.
- Permissions: You can revoke camera or photo access at any time from your device Settings.
7. Children’s Privacy
Smart Expense Hub is intended for general audiences and is not directed to children under 13 (or the minimum age required in your country). We do not knowingly collect personal information from children. If you believe a child has provided us with personal data, please contact us so we can remove it.
8. Changes to This Policy
We may update this Privacy Policy from time to time. When we do, we will revise the “Last updated” date at the top of this page. Continued use of the App after changes take effect constitutes acceptance of the updated policy.
